Scrub Society ("Scrub Society," "we," "us," or "our") is operated by TGN Holdings, LLC, a member of the TNAA / TotalMed family of healthcare staffing companies. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use the Scrub Society website, mobile application, messaging tools, community features, job and profile tools, employer interactions, events, housing and partner resources, and related services (collectively, the "Services").
By using the Services, you acknowledge the practices described in this Privacy Policy and our Terms of Use, incorporated herein by reference. If you do not agree, please do not use the Services.
Information We Collect
We collect information you provide directly and information collected automatically when you use the Services.
Information You Provide Directly
- –Account registration: name, email, phone number, username, password
- –Professional profile: specialty, licenses, certifications, years of experience, work history, education, references, skills
- –Resume and credential documents you upload
- –Job application data: position preferences, availability, compensation expectations, geographic preferences
- –Communication preferences and opt-in consent records
- –Survey responses, event submissions, housing or partner inquiries, and support requests
- –Content you post, share, or send through community or messaging features
Information Collected Automatically
- –Device and browser data: browser type, OS, device identifiers, app version
- –Usage data: pages or screens viewed, clicks, search queries, referring URLs, session activity
- –IP address and approximate location derived from IP
- –Crash data and error logs
- –Cookie and tracking technology data (see Section 5)
Information from Third Parties
We may receive information from employers, staffing agencies, recruiters, credential or background check partners, analytics providers, advertising partners, event partners, social platforms (if you connect an account), or other third parties that support the Services.

How We Use Your Information
We use personal information to:

- –Create and manage user accounts and professional profiles
- –Support job search, application, and matching workflows
- –Route candidate information to employers, agencies, and partners when you direct us to do so
- –Send job alerts, platform notifications, marketing communications, event updates, and recruiter outreach via email, SMS, push notification, AI-generated call, or other channels, consistent with your preferences and applicable law
- –Facilitate AI-assisted features such as matching, recommendations, chat support (via Erin, our AI assistant), profile assistance, and draft generation
- –Conduct analytics, benchmarking, and product research using de-identified or aggregated data
- –Detect and prevent fraud, abuse, security incidents, and violations of our Terms
- –Comply with legal obligations, enforce our agreements, and protect the rights and safety of users and the public
Legal Bases for Processing (Where Applicable)
Where required by applicable privacy law, we process your personal information on the following legal bases: (a) performance of a contract with you; (b) our legitimate business interests, such as improving the Services and preventing fraud; (c) your consent, where specifically requested; and (d) compliance with legal obligations. You may withdraw consent at any time where consent is the basis for processing.
How We Disclose Your Information
We do not sell your personal information as that term is most commonly understood. The following describes how we share your information:
Employers, Agencies, Recruiters & Workflow Partners
When you apply for a role, express interest in an opportunity, request contact, or otherwise direct us to share your information, we will share relevant profile, resume, credential, contact, and application data with the relevant employer, staffing agency, recruiter, applicant tracking system (ATS), vendor management system (VMS), or other workflow partner. You control when this sharing occurs.
Affiliated Companies
We may share information within the TNAA / TotalMed family of companies (including TNAA, TotalMed, The Gypsy Nurse, TravCon, RapidStaff, and related entities) for operational, staffing, and analytics purposes. In practice, this means that if you apply for a role, request contact with a recruiter, or opt in to staffing outreach, your profile and contact information may be reviewed by recruiters and staffing teams across affiliated brands, and you may receive opportunity outreach from those brands.
Service Providers
We share information with vendors and service providers that help us host, maintain, secure, analyze, communicate, and operate the Services. Service providers are contractually required to use your information only to perform services on our behalf and may not use or store your information for any other purpose.
Communications & Marketing Partners
We may share information with communications service providers, marketing platforms, and advertising partners to send you messages and manage campaigns. All such partners are bound by data processing obligations and may not use your information for their own unrelated purposes.
Legal & Safety Disclosures
We may disclose information if necessary to comply with any court order, applicable law, legal process, or regulatory request; enforce our rights or agreements; investigate or prevent fraud, abuse, or security incidents; or protect the rights, property, or safety of Scrub Society, our users, or others.
Business Transfers
We may disclose or transfer information in connection with a merger, financing, acquisition, reorganization, sale of assets, bankruptcy, or other corporate transaction. We will, to the extent practicable, require the acquiring party to honor the practices described in this Policy.
Cookies, Tracking & Analytics
We and our partners use cookies, pixels, SDKs, local storage, session replay tools, and similar technologies to operate the Services, remember your preferences, measure performance, understand engagement, support campaigns, and improve the Services.
Technologies We Use
- –Essential cookies: required for core functionality such as login, session management, and security
- –Analytics cookies: help us understand how users interact with the Services (e.g., Google Analytics, Mouseflow)
- –Marketing/advertising pixels: used to measure campaign effectiveness and deliver relevant advertising
- –Session replay tools: used to analyze user experience and identify usability issues (sensitive form fields excluded)
Your Choices
Your browser or device may allow you to manage cookies. Blocking some technologies may affect functionality. For interest-based advertising opt-outs, visit the Digital Advertising Alliance (optout.aboutads.info) or the Network Advertising Initiative (optout.networkadvertising.org). We honor Global Privacy Control (GPC) signals where required by applicable law.
Do Not Track
Our Services do not currently respond to browser-level "Do Not Track" signals. We will update this disclosure if our practices change.
Communications & Contact Preferences
By creating an account or using the Services, you consent to receive emails from Scrub Society and its affiliated companies, including job alerts, platform updates, newsletters, recruiter outreach, and marketing communications. You may opt out of marketing emails at any time using the unsubscribe link in any email. Transactional, security, and account-related messages are not subject to opt-out.
SMS / Text Messages
By providing your phone number and opting in, you consent to receive text messages from or on behalf of Scrub Society and its affiliated staffing partners, including job alerts, recruiter outreach, promotional messages, and service notifications. Message frequency varies. Message and data rates may apply. To opt out, reply STOP. For help, reply HELP or contact support@scrubsociety.com. Carriers are not liable for delayed or undelivered messages. Consent is not a condition of purchase or employment.
AI-Generated Outreach
Scrub Society and its affiliated staffing partners may contact you via AI-generated or AI-assisted calls, texts, or messages. Such communications may be transactional and service-related (account alerts, application status, job availability notices) or marketing and promotional (new opportunity outreach from affiliated staffing partners). You may opt out of marketing and promotional AI-generated communications at any time through your account settings or by contacting support@scrubsociety.com. Opting out of marketing will not affect transactional or service messages.
Push Notifications
You can manage push notification preferences through your device settings or in-app preferences where available.
Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to:
- –Provide the Services and maintain your account
- –Support job applications, placement history, and account records
- –Comply with legal and regulatory requirements — employment-related records may be retained for up to seven (7) years as required by law
- –Resolve disputes, enforce agreements, and protect against legal claims
- –Maintain legitimate business records and analytics
If you close your account, we will remove or de-identify your personal information from active systems in accordance with our retention schedules, subject to legal holds and compliance obligations. Aggregate or de-identified data derived from your information may be retained indefinitely.
Security
We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These include access controls, encryption of data in transit, and regular security assessments.
No system is completely secure. You transmit information to us at your own risk and are responsible for maintaining the confidentiality of your account credentials. If you believe your account has been compromised, please contact support@scrubsociety.com immediately.

We will respond to verifiable requests within the timeframes required by applicable law (generally 30–45 days, with an extension of up to an additional 45 days where necessary). We may need to verify your identity before processing your request. We will not discriminate against you for exercising your privacy rights.
Authorized Agents
If you are submitting a request on behalf of another person, you must provide proof of authorization. We may deny requests from agents who cannot demonstrate proper authorization.
Appeals
If we decline to take action on your request, we will explain our reasoning. You may appeal by emailing privacy@scrubsociety.com with the subject line "Privacy Rights Appeal." We will respond within 60 days of receiving an appeal.
California Privacy Rights (CCPA/CPRA)
If you are a California resident, the following additional rights apply under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA).
Categories of Personal Information Collected
Over the past 12 months, we have collected the categories described in Sections 1–2 of this Policy: identifiers; professional and employment-related information; usage and internet activity data; geolocation data; inferences; and, where applicable for employment processing, sensitive personal information such as government-issued ID numbers.
Right to Know, Delete, Correct & Portability
You may request to know what personal information we have collected about you, request correction of inaccurate information, request deletion (subject to legal exceptions), and request a portable copy. Submit requests to privacy@scrubsociety.com with the subject line "California Rights Request."
Right to Opt Out of Sale or Sharing
We do not sell personal information in the traditional sense. To the extent our use of advertising or analytics technologies constitutes a "sale" or "sharing" under the CCPA/CPRA, you may opt out by emailing privacy@scrubsociety.com with the subject line "Do Not Sell or Share My Personal Information." We also honor opt-out preference signals (GPC) where technically feasible.
Sensitive Personal Information
We do not use sensitive personal information for purposes beyond those permitted by the CPRA.
Non-Discrimination
We will not discriminate against you for exercising your CCPA/CPRA rights.
Shine the Light
California Civil Code Section 1798.83 allows California residents to request information about disclosure of personal information to third parties for direct marketing purposes. To make such a request, contact privacy@scrubsociety.com.
Other State Privacy Rights
Residents of Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, Virginia, and other states with enacted comprehensive consumer privacy laws may have rights similar to those described in Section 9, including rights to access, correct, delete, and opt out of sale or targeted advertising.
To exercise these rights, email privacy@scrubsociety.com. We will respond within 45 days, with a possible 45-day extension. We have not sold personal data to unaffiliated third parties for commercial purposes and do not intend to do so.
Children
The Services are intended for users who are at least 18 years old. We do not knowingly collect personal information from anyone under 18 years of age. If we learn that a minor has provided information to us, we will take steps to promptly delete that information and close any associated account.

Third-Party Services
The Services may link to or integrate with third-party services, including employer career portals, applicant tracking systems, event platforms, payment tools, housing platforms, analytics services, social media platforms, and content partners.
We are not responsible for the privacy practices, security, or content of third-party services. Your use of third-party services is governed by those parties' own privacy notices. We encourage you to review them before providing your information.
Cross-Border Data Processing
We are based in the United States and the Services are operated from the United States. If you access the Services from outside the United States, your information may be transferred to, stored, and processed in the United States and other countries where we or our service providers operate. Data protection laws in those countries may differ from the laws in your country.
Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted with a revised Effective Date. If we make material changes, we may provide additional notice by email or prominent on-platform notification. Your continued use of the Services after the effective date of an updated Policy constitutes your acceptance of the changes.
